Position Details
- Full-time, permanent position.
- Location: Madrid.
- Hours: 40 hours; hybrid working model.
- Reports to: Team Lead Subtitling.
Position Overview
The Account Coordinator supports the day-to-day coordination of subtitling and localization projects, facilitating communication between clients, freelance vendors, internal teams, and production stakeholders. The role covers project tracking, material management, vendor coordination, administrative support, and accurate maintenance of project information throughout the project lifecycle.
Responsibilities
- Support subtitling and localization projects from intake through delivery.
- Track and update project status, milestones, and deadlines, and maintain project records and documentation.
- Escalate risks, delays, or issues to the Team Lead when appropriate.
- Support project-related communications with clients and internal stakeholders, and maintain regular client communication about project updates and delivery requirements.
- Liaise with Production, Planning, Media Operations, Quality, and other internal teams to support project execution.
- Maintain records of approved freelance translators and vendors, and coordinate vendor onboarding, training schedules, and testing processes with global teams.
- Receive and manage materials from clients, vendors, and internal teams.
- Upload deliverables to client platforms and manage redeliveries and version tracking.
- Support technical delivery activities and troubleshooting.
- Generate reports and provide project status updates when requested.
- Support administrative activities associated with project execution and vendor coordination.
- Conduct basic quality checks following established procedures.
- Assist with linguistic projects and priority deliverables when required.
Requirements
- Fluency in Castilian Spanish and English.
- Familiarity with subtitling, localization, or audiovisual accessibility workflows.
- Strong organizational and administrative skills.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities in a deadline-driven environment.
- High attention to detail and accuracy.
- Strong proficiency in Microsoft Office and project tracking systems.
- Ability to work collaboratively with internal teams, clients, and freelance vendors.
- Experience working with freelance translators and linguistic vendors.
- Experience with Backlot, Aspera, Skynet, or similar platforms.
- Proficiency in additional languages is an asset.
